We are currently looking to fill the following positions:

Senior Collector

We have an immediate opening for a Collections Clerk with at least 8 years’ experience. Typically works to improve the effectiveness of cash collections by negotiating terms of payments on overdue accounts. May develop and implement process improvement projects, as well as performing daily collection calls and/or credit analysis.

Summary of Duties:

As a part of our Accounting department and reporting to our Controller, the responsibilities for this position will include, but will not be limited to:

Job Responsibilities and Accountabilities

  • Responsible for the collection of outstanding accounts receivable for all clients
  • Act as the point person for both lawyers and clients regarding queries to clarify facts and exchange information
  • Post daily cash receipts
  • Post direct to GL cash receipt as required
  • Contact clients for payment of outstanding accounts
  • Provide support to and liaise with the Billing or responsible lawyer with respect to the collections of receivables owing by that lawyer’s clients
  • Identify problems and develop solutions with respect to delinquent accounts
  • Produce account reconciliations
  • Produce ad-hoc reports as necessary
  • Maintain the collections database and report on the results of collections efforts
  • Issue monthly account statements to clients
  • Respond to incoming calls and client inquiries in a timely and professional manner
  • Run monthly and yearly reports for distribution to lawyers
  • Run reports requested by auditors and answer subsequent inquiries
  • Fill out and file proof of claims when necessary
  • Provide feedback/payment history for current clients when opening new matters
  • Process/coordinate payment reversals and reallocations
  • Process and obtain approval for account write-offs
  • Resolve any discrepancies with input and approval from Controller and/or lawyer
  • Remain informed and up-to-date on laws and policies relating to debt collection
  • Provide guidance to Collections Clerk
  • Other related duties as assigned

Qualifications

  • Graduate of a recognized college with an accounting diploma/certificate or degree
  • Minimum 8 years’ work experience in collections
  • Previous experience working in professional services industry would be an asset
  • Experience providing guidance, mentoring and/or managing employees would be an asset
  • Knowledgeable of collection laws, with the ability to continuously find ways to improve the collection of outstanding credit
  • A highly motivated individual that has the ability to work independently as well as in a team environment
  • Organizational and time management skills are essential; excellent at managing multiple priorities with frequent interruptions
  • Ability to produce high quality work and adhere to strict deadlines
  • Analytical with great report writing skills
  • Highly skilled in negotiation
  • Proven success in working in a fast-paced environment
  • Has the ability to quickly identify problems and recommend solutions
  • Strong technical skills, and proficient in Microsoft Office 2013 and Document Management systems
  • Experience with ARCS Collection Software and Elite Enterprise/3E is an asset
  • Have exceptional verbal and written communication skills, are organized and meticulous with follow-up and details and is able to take initiative, prioritize and multi-task

Training & Software Specialist

We have an immediate opening for a Training & Software Specialist, with a minimum 4 years’ experience combined in training or application support.  Experience in a professional services environment preferred.

Position Summary

This position is responsible for the delivery of front-line technical support to hardware and software users within the firm via the HelpDesk. The Technical & Training Support Specialist will provide support for user support services, including receiving and resolving IT problems and developing and delivering in-house end-user training programs.

Summary of Duties:

The Training & Software Specialist will develop and deliver in-house, end-user training programs and post-training software support.

Job Responsibilities and Accountabilities

  • Identify technical training needs, work with IT and managers on identifying employee technical needs and weaknesses
  • Create training strategies, initiatives, and materials based on data and research. Manage the production of program marketing material
  • Communicate training needs and online resources
  • Develop a schedule to assess training needs
  • Test and review created materials
  • Conduct training through new materials
  • Instruct employee training and onboarding
  • Coordinate and monitor enrollment and schedules
  • Attend “Train the Trainer” sessions for new projects, access vendor documentation and customize for internal use
  • Assist users with how-to application questions and best practices

Qualifications

  • Minimum 4 years’ experience as a trainer, corporate training specialist, or related position
  • Proficient computer skills, Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel).
  • Experience in Document Management systems would be an asset
  • Strong exposure to high demand Document Production environments is a must
  • Strict adherence to company technology goals
  • Familiarity with project management would be an asset
  • Good interpersonal skills and communication with all levels of management
  • Organized and able to create multiple timelines and schedules
  • Able to multitask, prioritize, and manage time efficiently
  • Excellent verbal and written communication skills

This position requires the individual to participate in the on-call rotation for after-hours/holidays support for IT operations.
